Capture Management Strategy
Case Study: Auto Parts Retailer
Beach Street Solution

Beach Street reviewed the business issues and suggested the implementation of an enterprise class Capture Management infrastructure. Based on Captiva Dispatcher and Documentum the infrastructure was able to scale to meet the needs of different departments and business functions. Paper was successfully removed from the business processes with images and extracted data integrated with the PeopleSoft ERP solution. Using the advanced extraction capabilities of Captiva Dispatcher, the need for processors to manually input data was significantly reduced and the error rate was slashed.

Streetwise™ Approach:

The solution utilized Beach Street Streetwise™ Methodology to map out a coherent business and technology strategy that incrementally delivered value to the client. Using a combination of industry leading capture and Enterprise Content Management software and our solution frameworks we were able to rapidly and cost-effectively deliver a comprehensive capture management solution.

Beach Street also implemented our Accounts Payable Solution for this customer. This leveraged Captiva InputAccel for Invoices and the Beach Street ERP Connector Framework.

Human Resource documents were captured using Captiva Dispatcher and integrated to the PeopleSoft system using the Beach Street ERP Connector as well. Using the capabilities of Documentum ensured that these sensitive documents were not accessible by anyone (including system administrators) except the HR staff.

Real Estate Documentation was digitized and made available.

Expense Reports were automatically captured from inbound faxes and key information extracted and provided to the ERP.

Benefits/ROI:

The customer recognized a positive ROI on the project within twelve months. Specifically, the invoices error rate was reduced from 35% to less than 2% and the processing rate increased by 300%. This vast improvement allowed for collection of early payor incentives and bonuses. The overall solution also enabled compliance with HR policies, reduced search times for Real Estate information, and it also sped processing and reduced errors and rework from Expense Report Processing.

Profile
Customer:
This large retailer has over 3,000 stores in practically every state in the country.

Problem:
Although the company has made significant investments in ERP and other systems there was and is still a huge amount of paper generated by their business. Handling paper is inefficient and creates barriers to business which impacted their ability to grow both organically and through acquisition without increasing corporate overhead.
